Fleet management is the management of a company’s vehicle fleet, which can include trucks, cars, and vans. Fleet management can include a range of functions, such as vehicle financing, vehicle maintenance, vehicle telematics (tracking and diagnostics), driver management, fuel management and health & safety management.

The basic function of fleet management is vehicle tracking. Using a GPS system, companies can locate vehicles, see which direction the vehicle is headed, and track the vehicle’s speed. This information is crucial for planning and managing the entire fleet. Vehicle tracking also improves safety as management is able to immediately detect unsafe driving practices by personnel.

Recent technological advancements have now made it possible for management to safely disable a vehicle, even while in operation. This feature nearly eliminates theft of vehicles and related cargo

Fleet management software is designed to manage all operations, from vehicle acquisition to disposal. The following list highlights a few of the benefits of fleet management software:

  • reduction of maintenance cost
  • improves the profitability of trucks
  • invoicing increase
  • simplification of operational processes
  • provides control of the routes

There are many choices when looking for fleet management software. The following 10 minute video, created by CIMA Truck, offers a demonstration of the features and benefits to using fleet management software.

Event Management Software Tools to Manage and Plan Events

Friday, July 23rd, 2010

Summary:

When a leading event management software vendor recently asked event planners which tools they use to plan their events, the majority said event management software (67%), with spreadsheets coming in second, and “other” listed last. While spreadsheets have some advantages such as being low cost and widely accepted, they also lack many of the features of event management software.

One of the best features of event management software is its ability to seamlessly integrate with your website so people can get all the important details of the event, register online and pay fees online when necessary. Event management software also has the ability to send invitations, print name badges, event surveys, and assist managers with resource allocation. Click the link below for the whole article.

Article Quote:

“Many events have multiple event managers, all using the same spreadsheets to organise and plan various areas. Problems arise when managers update spreadsheets without informing the other event mangers that the spreadsheet has changed.

Spreadsheets are a great tool that many people from a variety of industries. The drawback is that spreadsheets are not created for a specific niche, such as event management software is. Creating a software with the end user in mind is beneficial because it is customized with added features to make the user’s job easier, while keeping all the information in one place and in one application. As mentioned above, when changes are made to one spreadsheet, those changes don’t automatically populate to other users’ copies and that leads to miscommunication or at the very least, the need to spend more time updating everyone’s spreadsheet to reflect recent changes.

The service provides 23 modeling objects from which models can be built, and addresses a variety of different enterprise concerns, such as goals, systems, workflows, rules and projects.

Metastorm M3 will be offered as a free service until the end of the year, however this is likely to change as Metastorm has not settled on how much to charge users for the service, or how the pricing will work. One useful feature is that the new software includes built-in help guides for those new to enterprise modeling.

Why Orszag's Resignation Matters (And Why Not)

Monday, June 28th, 2010

Summary:

Peter Orszag, current budget director for the Obama administration has announced his resignation and will be leaving his post sometime next month.  He doesn’t give specific reasons for his departure, but has indicated he’s burned out and ready to move on. Orszag is likely headed to a think tank -either Brookings or the Council on Foreign Relations—before moving on to the private sector.

Mr. Orszag has said during his reign as budge director, that he believes the administration needs to improve and revamp it’s outdated technology. On Monday, Orszag and White House chief of staff Rahm Emanuel are expected to release memos pointing a new way forward for elements of federal IT, diving into topics like project management and financial systems upgrades.

Article Quote:

“I believe the single greatest driver of the productivity divide between government and the private sector is information technology,” Orszag said in a speech earlier this month. “Closing the IT gap is perhaps the single most important step we can take in creating a more efficient and productive government.”

While it is a loss to lose a tech-savvy director like Peter Orszag, it opens the doors for fresh ideas in the administration. Updating technology is good if it provides more value than the costs involved in implementation, setup and training. It seems what the administration, or any large organization really needs is technology designed for improved collaboration and project management. Having all the critical information at your fingertips, without needing to search or spend huge amounts of time getting status updates is invaluable.

Conflict is inevitable. Leadership that can recognize and effectively deal with conflict will produce better results and have a more satisfied staff. One of the best ways to reduce conflict is to clearly define the expected outcome, and provide a realistic timeline of deliverables. This allows people to know up front what they need to do and by when. By documenting goals and tasks in a visible manner so that everyone can see what their responsibilities are, confusion and/or mis-communication is reduced  while accountability is increased.

Beware of Management by the Latest Fad

Monday, June 7th, 2010

Summary:

Management fads are nothing new to the business scene. This article highlights the similarities of management fads along with guidelines to prevent the pit falls associated with adopting a fad.

Professors Danny Miller and Jon Hartwick of the Harvard Business Review, identified eight qualities found in most business fads: (1) simple, (2) prescriptive, (3) falsely encouraging, (4) one-size-fits-all, (5) easy to cut-and-paste, (6) in tune with the zeitgeist, (7) novel, not radical, and (8) legitimized by gurus and disciples. (‘Spotting Management Fads’, Harvard business review 80, 2002).

Philip Keeffe writes that the worst characteristic of business fads is that management often believes the fad will solve all or many management problems; but before implementation, they do not completely understand what the fad is or the consequences it can create.

“When those high-up in an organization try to overlay some new managerial fad onto every level of management in the business it can create serious problems if success doesn’t follow quickly.”

Management fads have and will come and go, but the skill set required to be an effective leader has changed very little over time. Managers need to have outstanding communication skills, an understanding of the business and it’s objectives, and probably most difficult skill to learn is the ability to motivate people.

Beyond possessing the right skills, managers can greatly enhance their performance by adopting a system designed to improve collaboration, accountability, and information management. Management software is a great asset for managers because it provides for the all important element of follow-through which saves time and frustration when in just a few clicks you have instant access to vital information without tracking down each person on your team.
